Membership Terms & Conditions
Fields Fitness offers 12-month memberships, available as:
- • Monthly Direct Debit
- • Annual upfront payment
Cancellation:
- • Monthly Direct Debit annual memberships cannot be cancelled within the first 12 months.
- • After the first 12 months, cancellation requires one month’s written notice (email or post).
- • Early cancellation within the first year may be considered only in exceptional circumstances (injury, relocation, medical condition or severe dissatisfaction with the club) and solely at the discretion of the General Manager or Club Director.
Refunds (Annual Upfront Memberships):
- • Upfront annual memberships are non-refundable.
- • Refund requests may be approved only in exceptional cases, at the discretion of the General Manager or Club Director.
Corporate, Student & Temporary Memberships:
- • Corporate memberships are available only to approved companies. Inclusion is at management’s discretion.
- • Temporary / short-term memberships must be paid in advance and are non-refundable unless management grants an exception.
Age Restrictions:
- • Minimum age: 12 years.
- • Under-16s must have parental/guardian consent to join.
- • Under-16s are not permitted to train before 12pm or after 5pm unless they are accompanied by a full adult member. Under-16s are also not permitted to use the free weights area of the club.
Freezing Membership (“Freezes”):
- • Memberships may be frozen for a minimum of one month.
- • The length and approval of a freeze are at the discretion of the General Manager or Club Director.
- • All freeze requests must be formally approved.
Joining & Inductions:
- • After joining online, members may choose to book an induction.
- • Inductions are optional, but recommended to help you get familiar with the gym and equipment.
- • When attending an induction, you will:
- • Sign required membership documents (if applicable).
- • Set up the FitSense app (if applicable).
Full Contract Terms:
- • Detailed terms and conditions are provided via Clubwise during sign-up. These terms form the binding membership agreement.
2. Free Trial Policy
- • Prospective members may request one free trial session.
- • Trials must be approved by the General Manager or Club Director.
- • A trial grants access to the gym and/or classes, depending on availability.
- • Trials can be arranged through the website or by contacting the club.
3. Promotions
- • Fields Fitness may run promotional offers throughout the year.
- • Terms differ per promotion; always check the specific offer details.
- Examples include:
- • £1 joining fee promotions
- • “13 months for the price of 12” annual membership deals
4. Privacy & Data Use
Fields Fitness collects and processes personal data for the following purposes:
- • Membership management (e.g., contact details, membership type, attendance records)
- • Communication of updates or promotions (marketing messages sent only with consent; members can opt out at any time)
- • Fraud prevention and credit risk management
- • Operational purposes (e.g., class bookings, facility access, app usage)
Data sharing:
- • Personal data may be shared with trusted service providers only as necessary to operate membership systems and club functions. These providers are contractually required to handle data securely and use it only for the intended purpose.
Member rights:
- • Members can request access to, correction of, or deletion of their personal data at any time.

Location data:
- • Any location data collected (e.g., via check-ins or app tracking) is only used for legitimate operational purposes and handled in compliance with UK data protection laws.
5. Policy Updates
- • Fields Fitness may change these policies at any time.
- • Updates will be published on this page or the relevant section of the website.
6. Liability & Use of Facilities
- • Members must follow all club rules and policies.
- • Members are responsible for using equipment safely and respecting others.
- • Fields Fitness is not liable for loss or damage to members’ personal belongings.
